KnowU Wellbeing – Terms & Conditions

1. Introduction

These Terms & Conditions (“Terms”) govern the use of KnowU Wellbeing services and website (www.knowuwellbeing.co.uk). By booking a wellbeing check-in, engaging our services, or using our website, you agree to these Terms.

2. Services Provided

KnowU Wellbeing offers independent, one-to-one health and lifestyle check-ins, organisation wellbeing sessions, and supporting resources.

• Our check-ins are not medical consultations or diagnostic services.
• All information provided is for wellbeing and lifestyle guidance only.
• Participants are encouraged to seek medical advice from their GP or a qualified healthcare professional for diagnosis or treatment of health conditions.

3. Bookings, Cancellations & Payment

• Bookings may be arranged directly by organisations, or through a booking link provided by KnowU Wellbeing to the organisation for their staff to use.
• Individual bookings may be accepted where agreed in advance.
• A written confirmation (by email) will be provided for all organisation bookings.
• Invoices are issued following confirmation, and payment is due within 30 days of the invoice date (unless otherwise agreed in writing).

Cancellations by Organisations

• Cancellations made more than 14 days before the agreed date will not incur a charge.
• Cancellations made within 7–14 days of the agreed date will incur a fee of 50% of the booking cost.
• Cancellations made within 7 days or non-attendance on the day will be charged at 100% of the booking cost.

Cancellations by KnowU Wellbeing

• In the unlikely event that we need to cancel or reschedule, we will provide as much notice as possible and work with you to arrange an alternative date. No charges will apply.

Late Payment

• Invoices not paid within 30 days may be subject to interest and recovery costs in line with the Late Payment of Commercial Debts (Interest) Act 1998.
• Interest will be charged at 8% above the Bank of England base rate until payment is received in full.
• We reserve the right to suspend or withhold future services until outstanding invoices are settled.

4. Participant Responsibilities

• Participants must provide accurate information to enable us to deliver safe and effective sessions.
• By attending a check-in, participants consent to the collection of relevant health data in line with our Privacy Policy | KnowU Wellbeing.
• Participation is voluntary, and you may withdraw consent at any time.

5. Data Protection

We handle all personal information in line with UK GDPR. Please see our Privacy Policy | KnowU Wellbeing for details on how we collect, use, and store data.

6. Liability

• KnowU Wellbeing will deliver services with care and professionalism.
• However, we cannot accept responsibility for decisions participants make based on the information provided during sessions.
• KnowU Wellbeing does not accept liability for any direct or indirect loss arising from use of our services, except where required by law.

7. Website Use

• Our website may contain links to external sites. We are not responsible for the content or privacy practices of those sites.
• You agree not to misuse our website or interfere with its security or functionality.

8. Updates to Terms

We may update these Terms from time to time. Any changes will be posted on this page, with the effective date updated accordingly.
